Policy and Procedures

1) Payment

Charters booked and payments on reservations made less than 30 days prior to departure will require all payments to be in credit/debit cards, cash or certified funds. Please make all payments payable to: Roundabout Atlanta Tours & Transportation.

2) Transportation Cancellations

The chartering party must inform Roundabout Atlanta Tours & Transportation via fax or email if there is a cancellation. By phone or voicemail cannot be accepted as an official cancellation. If cancellation becomes necessary any time prior to the scheduled departure date, there will be NO REFUND of the deposit. If contract/deposit is not signed and received prior to 15 days or day of departure we will assume that your plans have changed and the bus will be cancelled. A no-show policy fee equal to 100% of the trip cost. All cancellation fees are based on the total dollar amount of confirmation. All cancellation fees are based on the number of days prior to the date of service that the company receives thereof. Roundabout Atlanta Tours & Transportation reserves the right to cancel service at any time due to any reason determined by Roundabout Atlanta Tours & Transportation.

3) Tour Cancellations

* 24 hours cancellation notice required in order to receive a full refund
* Tours depart rain or shine
* There is no refund for no-shows, last minute cancellations, or late parties

4) Responsibility

When the Chartering Party request any change in service that results in an increase in miles or hours to that specific charter, an additional charge may be necessary for that additional service. The group is responsible for all tolls, parking, ferry, and entrance fees incurred on the trip.

5) Drivers’ Hours

Federal Department of Transportation safety regulations prohibit drivers to be on duty more than fifteen (15) hours per day, ten (10) of which are for driving (including a 30-minute pre- and post-trip vehicle inspection). The driver must be given eight (8) consecutive hours off before he/she may resume his/her duties.

6) Damage to Buses/Vans

The cost of repairing damage to buses resulting from the conduct of passengers on that specific charter shall be charged to the Chartering Party and Payable as soon as such cost is determined.

7) Arrival Time

Operators are carefully selected and have instructions to drive at all times at a speed within the limits prescribed by law and compatible with safe operation. Unusual road, traffic and weather conditions are beyond Company control.

8) Equipment

Equipment furnished by Roundabout Atlanta Tours & Transportations is thoroughly
inspected before being assigned to the charter service to insure uninterrupted. If for some reason beyond the control of the Company, a mechanical failure makes necessary the replacement of a bus originally assigned to the charter service, the replacement bus/Van may be of a different type.

9) Conduct of Passengers

Roundabout Atlanta Tours & Transportations reserves the right to refuse to transport
persons under the influence of intoxication liquor or drugs, or who are, or are likely to become, objectionable to other persons. Passengers shall not interfere with the operator in the discharge of his duty or tamper with any apparatus or appliance on the bus.

10) Uncontrollable Conditions

Road, traffic, and weather conditions are beyond the control of the company and the
service provider, and no refunds shall be given as a result of late arrivals due to such conditions or other occurrences out of the control of the company or the service provider. Roundabout Atlanta Tours & Transportation reserves the final say in if the weather will compromise the safety and will cancel accordingly.

11) Prices Subject to Change

All prices quoted in the confirmation are subject to change if quoted more 30 days in
advance. However, the total quote may not increase more than 20%. Prices will not be
guaranteed for reserved buses/Vans booked more than twelve (6) months in advance.
Exception: Roundabout Atlanta Tours & Transportation reserves the right to impose a fuel surcharge based upon an increase in fuel prices between the time the trip quoted and the actual service date. This surcharge would be based solely on the increased cost of fuel, and would be calculated on the difference in price per gallon and the total number of miles required for the trip itinerary.

12) Prohibited Items

The following items are prohibited without the written consent of the Company:
1. Decorations
2. Smoking (including E-cigarettes)
3. Kegs (except secured in the baggage compartment)
4. Golf shoes, ski boots, or other shoes with spikes
5. Fuel containers of any kind
6. Fire Arms, explosives, and fireworks (federal law)
7. Pets (exceptions: service animals)
